Packages of services such as chiropractic or massage therapy are not allowed per these guidelines, although individuals sessions of this type may be covered with a doctor's letter of necessity.

The Ins and Outs of Being Paid at SFHS

Who pays me?
The HR Generalist gathers payroll information over a single pay period of two weeks and submits a payroll file to the HR Director for review and submission by the CFO.
When am I paid?
Saint Francis High School follows a bi-weekly payroll schedule which is every other week on Fridays. The payrole calendar can be found at the top of this page in the HR Quick Resources.
What is a pay period?
A pay period is the period over which an educator is paid. At SFHS, we have biweekly 14-day pay periods. Each week runs Monday morning from 12:00 a.m. to Sunday at 11:59 p.m. Because SFHS pays every other week, there are 26 pay periods in a calendar year except in certain years when there are 27! Either way, pay is every two weeks, every other Friday.
How does HR know how much to pay me?
HR gathers all the pay information that is housed within Paycom in Personnel Action Forms (PAFs), Performance Discussion Forms (PDFs) and within timecards, and imports it into a unique payroll database for the upcoming Friday's payday.
Why aren't I paid for the work I complete that week on that Friday?
HR must begin preparing payroll the Monday before the Friday pay day, submit payroll on Tuesday so it can be processed by Paycom on Wednesday and headed to banks on Thursday and ready for use by you on Friday!
What if my job responsibilities change?
If your job responsibilities increase or decrease and create a pay change, HR must be notified right away via a Personnel Action Form (PAF) or Performance Discussion Form (PDF) in Paycom. The supervisor of the area of responsibility has the ability to submit a PDF for review. However, once it is submitted, it heads to HR for review, then to your supervisor for approval, then to the CFO to be sure the SFHS budget is amended accordingly, then to you for signature, then FINALLY to HR to include in payroll! This is why it's very important that a PDF is opened right away and signed by all parties as soon as received.
Why do some people have to clock in and out?

Non-exempt jobs are those that are not exempt from CA Labor Law and the Fair Labor Standards Act requirements of employers paying overtime. Jobs are deemed non-exempt by the responsibilities within them and employers are required to ensure that those holding those jobs track their time worked so they are paid appropriate overtime.

Clocking in and out via Paycom allows meal times and overtime to be automatically calculated to ensure SFHS is compliant with labor laws.

Employees holding exempt jobs do not need to track their time and are required to complete their job in whatever amount of time is required to successfully meet job expectations.

What if I notice something wrong with my paycheck?
Notify HR right away so we can research and address the issue!
What if I started a responsibility and wasn't paid?
As soon as advised of a new responsibility, HR facilitates the creation of a Performance Discussion Form by the supervisor, routes it to be approved as necessary - including by the educator, and backpays what should have been paid from the start of the responsibility and pay the remainder equally over the next pay periods through the end of the assignment.
Why aren't I paid for my seasonal responsibilities only during that season?
In an effort to ensure full-time educators receive consistent pay, seasonal responsibilities for clubs or sports are paid over the duration of the entire year from July 1 to June 30 if at all possible. Off-campus coaches or moderators are either paid hourly during the season or via a stipend over the duration of the season dates as directed by that department.

OSHA/Saftey Plans

The SFHS Injury and Illness Prevention Program (IIPP) is a basic written workplace safety program. Title 8 of the California Code of Regulations (T8CCR) section 3203, requires every employer to develop and implement an effective IIPP. 

The SFHS Hazard Communication Plan, as required by OSHA, addresses our management of hazardous chemicals in the workplace.

Which medical plan is right for me?

Our Kaiser plans are considered a Health Maintenance Organization (HMO) plan which is one of the most affordable types of health insurance. While it may have coinsurance, it generally has lower premiums and deductibles. It also often has fixed copays for doctor visits. It’s a good choice if you’re on a tight budget and don’t have many health issues. HMOs require you to use doctors in the HMO network. When you sign up for a plan, you’ll choose a primary care physician (PCP). This is the person you’ll see for regular checkups. Your PCP will need to give you a referral before you can see a specialist, like a dermatologist. Because all your health services go through your PCP, it’s important to find one you trust.

Like an HMO, our Cigna plan may require you to get a referral from your PCP to see a specialist. For slightly higher premiums than an HMO, this plan does cover out-of-network doctors. But you’ll pay more. This is an important difference if you are managing a condition and one or more of your doctors are not in the network.

Social Security Payroll Taxes
  • Starting January 1, 2025, the maximum earnings subject to the social security payroll tax will increase to $176,100 up from the $168,600 from 2024. This means that once you earn this gross amount, social security taxes will no longer be deducted from your paycheck for the rest of the calendar year.
403(b) Plan

For 2025, annual allowable contributions increase to $23,500, up from $23,000 in 2024, with the additional $7,500 catch-up contribution staying the same for those age 50 or older.

New for 2025, the SECURE 2.0 Act allows those aged 60-63 to make "super catch-up contributions" of up to the greater of $10,000 or 150% of the regular catch-up limit.

These limits are automatically set in Paycom to prevent you from overcontributing annually.

Tuition Remission

Tuition allowance benefits begin after two full years of service:

~3rd Year - Employee receives 25%

Leave of Absence

In some cases, your physician/practitioner may certify to longer periods if there are medical complications or if you are unable to perform your normal or usual job duties

Life Insurance/Disability (Mutual of Omaha)

Your life insurance is an amount is equal to 1x your annual earnings but in no event less than $50,000 or more than $200,000. At age 65 the benefit reduces to 65% and at age 70, to 50%. All full-time educators are automatically enrolled in this benefit with no premium.

Worker's Compensation

In the unfortunate case that an injury occurs while working on campus or off-campus, notify your supervisor and submit this form to HR within 24 hours of the injury

VSIP & Medicare
SFHS Voluntary Separation Incentive Plan

Effective the '21-'22 school year and every school year thereafter, SFHS offers eligible employees the Voluntary Separation Incentive Plan (VSIP). This plan is for employees with 20 or more years of full-time service whose years of service plus age falls between 85 and 100. There is a 3-year conversion timeframe to allow those who exceed the points eligibility in 2021 to elect the plan. You will be notified by HR in November each year if you qualify. Please note that if you want to consider accepting the terms of the VSIP effective July 1, any dependents under age 65 who you wish to remain on SFHS benefits after separation must be enrolled in SFHS benefits by January 1 prior to meet the requirements of one full year on benefits called out in this plan. Please contact HR for more details.

Medicare

Q: Do I need to enroll in Medicare when I turn 65?

No. As long as you’re still working and covered under an SFHS plan when you turn 65, you can delay your enrollment in Medicare, specifically in Medicare Part B, which allows you to avoid the Part B premium while you’re covered under SFHS’s plan. You’ll have an eight-month special enrollment period to sign up for Medicare when you leave your job. It will start the month after you separate from SFHS or the month after your group health coverage ends – whichever happens sooner.

Q: When should I enroll in Medicare?

Medicare open enrollment – also known as the annual election period or annual coordinated election period – refers to the annual period (October 15 through December 7) during which Medicare plan enrollees can reevaluate their coverage — whether it’s Original Medicare with supplemental drug coverage, or Medicare Advantage — and make changes if they want to do so. If you choose to enroll in Medicare and remain employed by SFHS, SFHS coverage will be your primary insurance with Medicare as secondary - it is not a choice. Use this knowledge to determine when it is best to enroll in Medicare.

Q: What if I have a change in income while paying for Medicare Part B?

When you enroll in Medicare part B, the premiums you pay are partially dependent on your income. If your income is above a certain threshold, you’ll have to pay higher premiums; this higher premium amount is known as your income-related monthly adjustment amount (IRMAA). However, incomes can change from year to year, so you need a way of notifying the Social Security Administration (SSA) if your income changes. The way to do this is with Social Security Form SSA-44.

Q: What if I need more insurance than just Medicare?

Medigap is Medicare Supplement Insurance that helps fill "gaps" in Original Medicare and is sold by private companies. Original Medicare pays for much, but not all, of the cost for covered health care services and supplies. A Medicare Supplement Insurance (Medigap) policy can help pay some of the remaining health care costs, like: copayments, coinsurance and deductibles.

403(b) Required Mandatory Distribution

Required Minimum Distributions (RMDs) are minimum amounts that a retirement plan account owner must withdraw annually starting with the year that the employee reaches age 72 (70 ½ if you reach 70 ½ before January 1, 2020), if later, the year in which the employee retires. Roth 403(b)s do not require withdrawals until after the death of the owner.

Social Security Benefits

Social Security replaces a percentage of a worker’s pre-retirement income based on their lifetime earnings. The amount of your average wages that Social Security retirement benefits replaces varies depending on your earnings and when you choose to start benefits. If you start benefits at age 67, this percentage ranges from as much as 75 percent for very low earners, to about 40 percent for medium earners, and about 27 percent for high earners. If you start benefits earlier than age 67, these percentages would be lower, and after age 67 they’d be higher. Most financial advisers say you will need about 70 percent of pre-retirement income to live comfortably in retirement, including your Social Security benefits, investments, and other personal savings.
